Vendor Registration Is Not a Purchase Order

Vendor registration feels exciting the first time you see it.

You fill forms. Upload documents. Submit a company profile. Maybe you receive a confirmation email. For a beginner, it can feel like the door has opened.

But here is the truth: vendor registration is not a purchase order.

It is not even always approval.

Registration means you may be visible

In many companies, registration simply means your information exists in a system. Buyers may use that system to search, screen, shortlist, invite, or compare suppliers.

Equinor says this plainly in its supplier guidance: registering in qualification systems does not guarantee becoming a supplier, but it provides information buyers can use when considering a company.

That is a useful lesson for beginners. Do not celebrate registration as the final win. Treat it as one gate in a longer path.

What still has to happen

After registration, a company may still need:

  • Category qualification.
  • Document review.
  • HSE screening.
  • Financial risk assessment.
  • Technical evaluation.
  • Site or management system review.
  • Tender invitation.
  • Commercial comparison.
  • Contract approval.

Some registrations expire. Some require annual updates. Some are only valid for certain categories. Some require permits or local documents before the company can operate in that sector.

Ghana example

For Ghana's upstream petroleum sector, the Petroleum Commission states that companies intending to operate must register and obtain a renewable permit before operations. That is not casual paperwork. It is a regulatory gate.

This matters because a salesperson should not say, "We are registered," without knowing registered where, for what, until when, and whether the registration actually applies to the work being pursued.

The better way to use registration

Use vendor registration as part of a credibility file.

Keep a tracker with company name, portal, category, submission date, documents uploaded, status, expiry, buyer contact, and next action.

Then keep building relationships, reading tender notices, improving documents, and learning the buying process.
